Receptionist / Administrative Office Assistant


Accountability:
Reporting to the Human Resources Manager/Registrar, the Receptionist / Administrative Office Assistant is responsible for performing the essential functions of this position as outlined below. The Receptionist / Office Assistant is a part time employee. The work pace is slow to moderate depending on the task required. The position of Receptionist / Office Assistant requires the ability to work in a sedentary work level.

FLSA Status: Part Time Non-Exempt
Salary: $18-$20/hr.

Qualifications: High School degree. Proficient knowledge of Microsoft Office, telephone skills and proofreading capabilities are required. Administrative experience is preferred.

Essential Functions:
1. Answer phones, direct call to appropriate staff, and monitor general voicemail.
2. Prepare envelopes and labels for outgoing mail and postmark outgoing mail.
3. Maintain and update various databases.
4. Assist with proofreading including brochures, grant requests and letters.
5. Assist with filing.
6. Assemble materials for mailings.
7. Assist Senior Operations Manager with Driver Abstracts, Checklist Forms, Documentation Forms, Accident/Incident Reports.
8. Assist staff with large event projects (collating, creating signs, labels, data entry, etc.)
9. Other duties that may be assigned by the Human Resources Manager/Registrar.
10. Assist with stocking office supplies.

Marginal Functions:
1. Assist all staff as needed.
2. May attend large agency or foundation events.
3. Maintain own schedule and submit timesheet in a timely fashion as guided by the annual payroll schedule.
4. Back up for registration entry into Rec Trac system.

Safety Considerations:
1. Staff will comply with all M-NASR Safety Policies and Procedures and carry out all tasks in a safe manner.
2. Attendance at various safety in-services will be required.

1. Must be able to respond to needs of individuals with disabilities.
2. Must be able to work under stressful conditions.
3. Must be able to work as part of a team.

Environmental Considerations:
1. Most activities are performed indoors, these conditions include lighting and temperature.

1. Must exhibit good problem-solving ability and good judgment in keeping with the mission of M-NASR.
2. Must be able to demonstrate good safety awareness and judgment.
3. Must be able to follow rules and directions.
4. Read and understand large volumes of electronic or non-electronic paperwork.
5. Must be able to communicate effectively.
6. Must be able to organize large amounts of information effectively.

Essential Physical Capabilities:
1. Prolonged periods of sitting, standing, bending, stooping.
2. Capable of lifting, pushing, pulling, and carrying items weighing 5-20 pounds with mechanical
assistance or team lift.
